There are situations when you will be able to gather contacts from other sources. Normally those contacts are inputted into a sheet, like an excel file or similar software. Just make sure that you save that file into a .csv format and that will enable you to import it within the Engagebay system.

This article will show you how yo import a , CSV file into the contacts of Engagebay.

1. Prepare your sheet and save the file into a ".csv format".

 

2. On your Engagebay dashboard. Hover your mouse over contacts tab on the top menu then click on "contacts"

 

3. On the "Contacts" page, please click on "import button" on the upper right side of the screen.

 

3. A popup will appear where you can select the file to upload then click the upload button.

 

4. It will now open a page where it will show you how the system matched the fields on your sheets to the fields present in the Engagebay system. The fields under "Column Heading" are the fields found in your .csv file/sheet. The fields under the "Field" column, are the fields within the Engagebay system. it is segregated into two parts. The "Columns with matches", are the fields that Engagebay was able to automatically pair with an existing field in the system. You can still change it to a field in engagebay which you think is more suited or you can leave it as is. The second part is the "Column Without Matches", these are the field(s) that Engagebay was not able to pair to an existing field in the system. You may choose to ignore it so that it will not be included, or you can manually choose a field in the engagebay. In this case, we manually paired "mobile number" from the sheet to "Phone" in the Engagebay system. Once you are done with all modifications please press the "import" button below.

 

5. You can now see the contacts you have imported from the .csv file.

A List is defined as a set of contacts grouped based on a specific category determined by a filter or a set of filters. It simply means that you made a group of contacts based on certain criteria, it may be interest, age group, country, gender or any other factor common to a set of contacts which may be useful to your Marketing campaign.

Example, you have an anti-age cream for women and you want to market it. You need to know the age and gender of your contacts so that you can send a campaign to the older age group who are female. so you create a filter that will generate a list of contacts who fall on that criteria. Since you are using many ways to capture leads, so the number of your contacts grows. It is possible that new subscribers/registrants will also fall on the criteria you want to market your anti-age cream with. Engagebay allows you to automate that - by creating a "Smart List".

This article is a guide showing you how to create a "Smart List" step by step.

In this guide, we will be making a Smart list that will group all contacts coming from the United States.

1. On your dashboard, hover your mouse over "Contacts" tab on the top menu and click on "Lists"

 

2. Click on "Create List" button over the upper right side.

 

3. It will open a "pane" where you can configure the setting of your list. Name your list first for easy identification when you are using it. after that make sure "Smart List" radio button is ticked, then click on "Add Condition" to start defining the lists conditions.

 

4. There are so many ways you can set up conditions. You can even set up a series of conditions in a single Smart list. In this case, we are just choosing country which is equivalent to the United States. Once you are done with set up. just press save.

 

5. You will now see the "Smart List" you have created and when you open it, it will show you your contacts coming from the US and it will automatically add any new contact that is also coming from the US.

How to add a custom field for contacts in Engagebay

Engagebay got a standard set of fields that are available to be filled up when adding a contact manually. It asks for First Name, Last Name, Email, Company, Phone Number and Country. These Fields are also the standard information available in storing a contact in the system whether the information is captured through a form, landing page or any other external source. Even if the form is asking for additional info, engagebay will not store it since there is no equivalent field to store the data into. It means that information of a contact is limited to those fields within the Engagebay system. You cannot expect to see additional information about a contact, other than the available fields. The image below shows the default data stored in the engagebay system.

 

There are times when specific information is needed to make your marketing campaign more effective. engagebay allows you to add the fields you needed.

This article aims to provide you with a guide on how you can add a field in the Engagebay system so that you can store that necessary data, based on your need.

1. Click on your "account image" located on the upper right side of your screen then click on "Admin Settings".

 

2. Choose the "Custom Fields" option on the left side of the screen, by clicking on it. 

 

3. Make sure the "Contact" tab is highlighted, if not click on it to be sure it is the one selected. Once you are sure that you are under "Contact" tab, please click "Add Custom Field".

 

4. It will now provide a pane where you can set up your field. It's good to play around with it to explore features. Anyway, it's very easy to use. In my case, I am adding "Gender" as a custom field and I am providing drop-down options for it, so I am using a list as type. I also provide the options on that list separated by commas(,). Once you are done with the configuration then click the "Submit" button.

 

5. You will now see the Field you created listed on the "Custom Fields" page. Once you go back to contacts. You will now see Gender as one of the standard fields listed.
